Terms & Conditions

All quotes provided by Dragonfly Cakes are valid for a period of 14 days from the date of issue.

To secure your booking, a 30% non -refundable booking fee is required. The total of this is clearly identified on your invoice.

No date will be considered secured without the booking fee being made and no cake will be released without full payment being processed.

The balance on your booking is then due at least 14 days prior to the event date.

An invoice will be sent out prior to the balance due date however full payment can be made at any time prior to that date.

Preferred payment is through bank transfer, these details are found on your invoice. However credit card or “tap” options are available in person or over the phone with a merchant fee (as designed by our provider) to be added to your payment.

Please ensure that you record your surname and/or quote number on your transfer for easy identification.

Once the funds are cleared in my account, a receipt will be forwarded to you via email.

Orders placed with less than 6 week notice or for orders under $400 will require the full payment to be made at the time of ordering.

In making your non-refundable Booking Fee you agree to these Terms & Conditions as outlined.

Dragonfly Cakes offers onsite and online design consultation appointments.

Any cakes ordered from a photo of a cake will be created as an interpretation of the original cake. Exact replication of an entire cake by another designer will not be undertaken unless permission from the designer can be sought.

Modifications to cake designs can be made up to 6 weeks prior to the event to allow adequate time frames for creating your cake.

Where design modifications increase or decrease the quoted amount of your cake these will be communicated to you as soon as possible and your invoice updated to reflect the change.

Cake Toppers

If you are organising your own cake topper please let us know so we can provide you with the measurements of your cake and some recommendations around design.

The topper can be delivered to us prior to the date or it can be at the venue on the day, we will place it onto the cake at delivery and set up.

Dragonfly Cakes can include a custom topper in your quote, please contact us for more details.

Cake Stands

Dragonfly Cakes have a range of stands and platforms available for hire with your cake.

A refundable bond will be charged for all stands hired, once the stand is returned undamaged the bond will be returned to your account of choice.

If you or your stylist is providing a cake stand please let us know so we can advise on the size and shape required for the cake.

Any stand at the venue that is determined to be insufficient to hold the weight of the cake safely will not be used.

Flowers

We recommend that flowers for wedding cakes are ordered through your own florist to ensure consistency in the appearance of your reception.

Please provide the details of your florist to us prior to your wedding, we will liaise with them in the weeks before the event around the cake design, size and delivery schedules.

Dragonfly Cakes will decorate the cake at the time of delivery to your venue, your florist can provide the flowers either already wired/taped or loose.

If you require the florist to decorate the cake then please let us know in advance so we can coordinate out delivery time to have the cake available to them so it can be completed whilst we are onsite and prior to handover to venue staff.

Other Items

We are happy to work with other vendors on dessert or grazing tables.

Please provide us with their details when you are confirming your booking.

Wedding Cakes

Unless otherwise specified, the delivery of all wedding cakes is completed by Dragonfly Cakes.

Confirmation as to delivery times will be completed prior to the event and may involve (but is not restricted to) the venue, florist and wedding coordinators.

The cake is decorated and set up on site and photographed before Dragonfly Cakes leaves the venue.

Please ensure that a stable table or wine barrel is available for the cake to be placed onto. If the cake is larger or heavier than usual we will identify this with you so discussions can occur with the venue and accommodations made.

On the rare occasion that the cake is not able to be set up in its final location by us, please ensure that the venue has appropriate facilities to store the cake (a cool, dry environment and out of direct sunlight is required)

Delivery Costs

The delivery cost covers a single trip to deliver and set up your cake at your venue. It also includes time to arrange flowers, toppers and other decorations as well as photography and documentation with venue staff.

If a 2nd trip to the location is required, e.g. collection of cake stands after the event - a second fee will be included in your quote.

Kurri, Cessnock & Weston - $40

Hunter Valley (Pokolbin, Lovedale, Rothbury) & Maitland - $75

Newcastle, Lake Macquarie, Broke & Wollombi - $90

Upper Hunter, Port Stephens, Central Coast - $150

Event Cakes, Tasting Boxes & Treat Boxes

Collection of smaller event cakes, cake tasting and treat boxes are from our shop at 23 Station Street, Weston NSW 2326.

Pick up times will be clearly identified when confirming your order, some flexibility around times is possible however at busy times changes may not be able to be accommodated.

Dragonfly Cakes will provide instructions on how best to transport your cake based on your vehicle type and destination. We will also provide non-slip matting to be placed under the cake box to minimise movement during transport.

Dragonfly Cakes assumes no responsibility for any damage the cake may incur once it leaves our premises. It becomes the sole responsibility of the person collecting the cake to delivery it safety to its destination.

Postage

Our monthly Cake Tasting Boxes and some of the items from our Treat Box menu can be posted.

Cake Tasting Boxes & Treat Boxes are posted via Express Post and the cost of the postage will be added to your booking.

Dragonfly Cakes reserves the right to use any image of an items made by and photographed by us for publication at a later date unless specific contracts have been entered into.

Any professional images taken at your event that are made available to us we will ensure that your photographer is credited when sharing said images on social media.

Dragonfly Cakes reserves the right to publish any feedback and or testimonials provided by clients unless specifically requested otherwise.

We do not sell or pass on your personal details to anyone at anytime. And any contact with other suppliers that needs to occur regarding your order is done through Dragonfly Cakes and not using your details.

Please be aware that any products provided by Dragonfly Cakes may contain traces of nuts &/or gluten.

It is the responsibility of the client to inform their guests that this is the case if there are persons with allergies attending the event.

Whilst products may not use allergens it is not possible for Dragonfly Cakes to guarantee nut or gluten free due to possible trace amounts in the environment they are prepared in.
